The information we collect and why

Membership

When you apply to become a member we collect the details on the membership application form, such as your name, address, contact details, date of birth or age band (used to apply the correct membership fee), the names of the two members who propose and second you, your membership number and records of fees paid.

We use this to process your application, administer your membership, issue membership cards, apply member benefits, meet the requirements that apply to us as a members’ club and contact you about Club business such as meetings and elections.

Lawful basis: performance of the membership contract; compliance with legal obligations (including licensing requirements); and our legitimate interests in running the Club.

Contact enquiries and function bookings

If you contact us by phone, email or through a form on this website (for example to enquire about hiring a function room), we collect your name, contact details and the content of your message.

Lawful basis: our legitimate interests in responding to you, or taking steps at your request before entering into a booking contract.

Club news and event updates

We may send members and others news about events and entertainment by email or other electronic means. We will only do this where you have agreed to receive it, and every message will tell you how to unsubscribe. You can withdraw your consent at any time by using the unsubscribe link or emailing dpo@eltonliberalclub.co.uk.

Lawful basis: consent.

CCTV

We operate CCTV at the Club for the safety and security of members, guests and staff, and to prevent and detect crime. Signs show where cameras are in operation. Our CCTV records images only; audio recording is disabled. Access to footage is restricted to authorised committee members. Footage is kept for a limited period before being automatically overwritten, unless it is needed to investigate an incident or is requested by the police or an insurer.

Lawful basis: our legitimate interests in keeping people and property safe.

Photographs at events

We sometimes take photographs at Club events and publish them on this website and our social media pages. If you would prefer not to be photographed, or would like a photo of you removed, please let a committee member know or email us and we will remove it.

Lawful basis: our legitimate interests in promoting Club events.

Website visitors

When you visit this website our security systems record technical information such as your IP address, browser type and the pages you request. This is used to protect the site against attacks and misuse.

Lawful basis: our legitimate interests in keeping the website secure.

The website also uses cookies and similar technologies. Cookies that are strictly necessary for the site to work and stay secure are set automatically. All other cookies, including those set by Facebook, Instagram and Google Maps content embedded on our pages, are only set if you agree to them through our cookie banner. You can change your choice at any time using the “Manage consent” link. Full details are in our Cookie Policy.

Who we share your information with

We do not sell your personal information. We share it only where necessary with:

  • Service providers acting on our behalf – our website hosting and backup providers, Cognito Forms (which runs the forms on this website), Defiant Inc (Wordfence website security) and our email provider. They may only use your information on our instructions.
  • Meta (Facebook and Instagram) and Google – if you accept the relevant cookies, embedded social media feeds and maps allow these companies to collect information about your visit. Their use of that information is governed by their own privacy policies.
  • The police, regulators and our insurers – where we are required or permitted by law, for example CCTV footage requested to investigate a crime.
  • Professional advisers – such as our accountants or solicitors where needed.

International transfers

Some of our service providers (including Cognito Forms, Defiant, Meta and Google) are based in, or may process data in, the United States or elsewhere outside the UK. Where this happens we rely on appropriate safeguards recognised under UK law, such as the UK Extension to the EU–US Data Privacy Framework or the International Data Transfer Agreement.

How long we keep your information

  • Membership records – for the duration of your membership, then for six years plus the current year after your membership lapses, after which they are securely destroyed.
  • Contact enquiries and function bookings – for six years plus the current year after the enquiry or booking is closed.
  • CCTV footage – for a short period before being automatically overwritten, unless retained for an incident or investigation.
  • Website security logs – in line with our security provider’s standard log retention.
  • Email consent records – for as long as you remain subscribed, and for a reasonable period afterwards so we can show your preferences were respected.

How we keep your information secure

Paper membership records are stored securely at the Club with access limited to those who need it. Electronic records are protected by access controls and passwords, and the website is protected by security monitoring, firewall and regular backups.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information, where we no longer have a reason to keep it;
  • ask us to restrict how we use your information;
  • object to our use of your information where we rely on legitimate interests;
  • withdraw consent at any time, where we rely on consent; and
  • ask for information you have given us to be transferred to another organisation, where applicable.

To make a request, email dpo@eltonliberalclub.co.uk or write to us at the address above. We will respond within one month. There is normally no charge.
